We are supporting a global Empresa in the search for a highly qualified Senior HR & Office Administration Analyst in São Paulo, Brasil.

Cargo SUMMARY

The Senior HR & Office Administration Analyst will support the País Director in leading the Human Resources and Administrative routines of the business, ensuring operational excellence, compliance and efficient employee experience. This Cargo plays a key role in maintaining HR processes, payroll interface, office administration, vendor management and employee engagement initiatives, contributing directly to the smooth running of the organization. Advanced to fluent English is mandatory, as this role requires daily interaction with the international headquarters and corporate stakeholders.

KEY RESPONSIBILITIES

HUMAN RESOURCES:

  • Maintain and update employee records, ensuring accuracy, confidentiality, and compliance with internal policies and legal requirements.
  • Prepare and submit employee data to Group HR for demographic analysis and management reporting.
  • Support employee insurance administration, including enrollments, submissions, and claims follow-up, ensuring timely and accurate processing.
  • Oversee the payroll process managed by the outsourced payroll provider, ensuring accuracy, timeliness, and compliance with statutory obligations.
  • Review payroll reports and validate all relevant information prior to processing and payment deadlines.
  • Act as the focal point between local operations, Group HR, and the payroll provider to ensure that employee movements such as new hires, terminations, salary changes, and other updates are accurately reflected in payroll.
  • Support HR routines related to employee relations, performance management, training coordination, and general people operations.

ADMINISTRATION:

  • Oversee office facilities, supplies, and equipment maintenance to ensure business continuity and a well-functioning workplace.
  • Manage vendor contracts, service providers, and service agreements, ensuring quality, compliance, and cost control.
  • Ensure the timely renewal of business licenses, permits, subscriptions, and other required documentation.
  • Coordinate employee engagement initiatives, internal meetings, and Empresa events.
  • Provide administrative support to the leadership team, including scheduling, correspondence, travel arrangements, hotel bookings, transportation, and other logistics.
  • Organize accommodation, transportation, courier services, and office support services required for daily business operations.
  • Maintain organized office files, records, and administrative documentation, ensuring accessibility and accuracy.

REQUIREMENTS

Bachelor’s degree in Human Resources, Psychology, Business Administration or related fields is preferred.

Solid knowledge of Brasilian Labor Law (CLT) and HR best practices.

Microsoft Office and HRIS

Advanced to fluent English is mandatory
