Administrative Assistant – Documentation Services (Independent Contractor)Role Summary
BRS Solutions is seeking a proactive, organized, and client-focused Administrative Assistant based in Brasil to support our Documentation Services Division. This Cargo is offered on an independent contractor basis and involves assisting clients, managing documentation processes, coordinating administrative tasks, and supporting the daily operations of our Toronto-based team.
The ideal candidate is highly organized, detail-oriented, and capable of working independently in a remote environment while maintaining excellent communication with clients and team members.
Key Responsibilities
- Respond to client emails, messages, and inquiries promptly and professionally.
- Assist prospective clients and support the client onboarding process.
- Organize, review, and maintain digital documents and client records.
- Track documentation requests, deadlines, and pending items.
- Follow up with clients regarding missing documents or required information.
- Update internal spreadsheets, databases, and CRM systems.
- Schedule meetings and coordinate appointments as required.
- Support operational and administrative activities related to document processing.
- Collaborate with team members to ensure a smooth client experience.
- Perform additional administrative duties as assigned.
Desired Qualifications
Education
- College degree required.
- Background in Law, Legal Studies, Paralegal Studies, Business Administration, International Relations, Public Administration, or related fields preferred.
Experience
- Minimum of 2 years of experience in administrative support, customer service, or document processing.
- Experience working remotely and managing multiple tasks simultaneously.
- Previous experience in immigration, documentation, legal, accounting, or professional service firms is an asset.
Technical Skills
- Intermediate knowledge of Google Workspace (Docs, Sheets, Drive).
- Proficiency with email communication and virtual meeting platforms.
- Familiarity with CRM and project management systems such as Bitrix24, Trello, or similar platforms is an asset.
Languages
- Fluent Portuguese (written and spoken).
- Advanced English (written and spoken) required.

Contract Conditions

- Must be available during business hours that overlap with the Toronto (Eastern Time) time zone.
